Volunteer Roles, Responsibilities, and Requirements
1. Introduction
Thank you for your interest in serving as a volunteer for the Ryan Larkin Invitational Adventure Race (RLIAR). This event honors fallen heroes through endurance, teamwork, and service. Volunteers play a crucial role in ensuring the safety, efficiency, and spirit of the race. Each of volunteer represents the values of integrity, discipline, and respect that define the Creed of Peaceful Warriors.
This guide outlines the responsibilities, requirements, and expectations. Please read carefully and contact the Race Director if you have any questions. Together, we'll create a world-class experience for participants and supporters alike.

2. General Volunteer Requirements
- Must be 18 years or older (exceptions with guardian approval).
- Must attend pre-race orientation (virtual or in-person).
- Must maintain a professional and respectful attitude at all times.
- Adhere to safety, hydration, and communication protocols at all times.
- Uniform: RLIAR SPF shirt, closed-toe shoes, and appropriate outdoor gear.
- Meals and water will be provided during your assigned shifts.
- Please note that volunteers are responsible for their own transportation and lodging.
3. Volunteer Roles and Responsibilities
Setup Crew (June 10)
Primary Duties: Assist with tent setup, signage, tables, and supply organization. Load/unload vehicles and prepare the staging area.
Time Commitment: 6-hour shift each day
Lifting Requirement: Up to 50 lbs
Skills Required: Teamwork, organization, ability to use tools safely
Reports To: Theresa Carpenter
Registration Team (June 11)
Primary Duties: Welcome participants, verify waivers, issue gear and uniforms, and organize team packets.
Time Commitment: 6-hour shifts
Lifting Requirement: Up to 20 lbs
Skills Required: Customer service, organization, attention to detail
Reports To: Janet Villalongja
Launch Crew (June 12–14) Morning
Primary Duties: Support morning race operations: breakfast setup, hydration, gear checks, and morale boosting. (Headlamp required)
Time Commitment: 6-hour shift (05:00–11:00)
Lifting Requirement: Up to 30 lbs
Skills Required: Punctuality, enthusiasm, communication
Reports To: Tent Captain
EMT / Checkpoint Team (June 12–14) Midday
Primary Duties: Provide medical support at checkpoints, monitor participant safety, and log incidents or evacuations.
Time Commitment: 6-hour shift (10:00-16:00)
Lifting Requirement: Up to 40 lbs
Skills Required: CPR/AED certified, EMT/WFR required, calm under pressure
Reports To: Safety Officer
Finish Line Crew (June 12–14) Evening
Primary Duties: Assist participants at end-of-day checkpoints, manage meals, recovery areas, and hydration. (Headlamp required)
Time Commitment: 6-hour shift (15:00–21:00)
Lifting Requirement: Up to 30 lbs
Skills Required: Hospitality, empathy, teamwork
Reports To: Tent Captain
Transport & Shuttle Drivers (June 11-14)
Primary Duties: Operate shuttles for participants, staff, and gear. Ensure safe transport between tents and hotels.
Time Commitment: 6 hour shift
Lifting Requirement: Up to 50 lbs
Skills Required: Valid driver's license, safe driving record, radio communication
Reports To: Transport Coordinator
Tent Captains / Command Leads (June 12–14)
Primary Duties: Oversee volunteers at each tent, maintain communication with command, and manage logistics.
Time Commitment: Full event (June 12–14), 6 hours/day
Lifting Requirement: Up to 50 lbs (shared tasks)
Skills Required: Leadership, organization, problem-solving
Reports To: Race Director
Media & Communications Support (June 12–14)
Primary Duties: Assist with livestream, social media, and photography. Manage sponsor visuals and interviews.
Time Commitment: 6 hour shifts
Lifting Requirement: Up to 20 lbs
Skills Required: Photography, video, communication
Reports To: Media Coordinator
Safety & Recovery Team (Evenings, June 12–14)
Primary Duties: Support end-of-day recovery, monitor rest areas, and provide light security overnight.
Time Commitment: 6-hour shift (Evening/Night)
Lifting Requirement: Up to 40 lbs
Skills Required: Calm demeanor, basic first aid, communication
Reports To: Safety Officer
4. Volunteer Schedule Overview
- June 10: Setup (6-hour shifts)
- June 11: Registration (6-hour shifts)
- June 12–14: Morning Launch (6-hour shifts), Daytime EMT (6-hour shifts), Evening Finish (6-hour shifts)
- Meals and water provided during shifts
- Check-in 30 minutes before each shift
- Debrief held each night for Tent Captains and Command Leads
